Travel Grant for Female Master's Students Presenting at an International Conference Abroad
Purpose of the Grant
- The travel grant is intended for research-track Master's students at Ben-Gurion University of the Negev who are in their second year of study or beyond, and whose research proposal has already been approved.
- The grant is intended for students who have been accepted to present at an international conference or workshop abroad, where participation will contribute to their academic development and future career.
- The grant aims to promote the international engagement of early-career women researchers.
- The grant is intended solely for academic travel.
- The grant amount is up to USD 500. An additional grant of up to USD 250 is available for mothers traveling with a child under the age of two, subject to submission of the child's airline ticket. (The additional amount is subject to applicable tax regulations.)
- Eligibility for the grant will be determined based on equitable representation across all faculties and the availability of funds. Priority will be given to disciplines in which women are significantly underrepresented, particularly STEM fields.
- Receipt of this grant is independent of other funding sources (e.g., the Central Scholarship Fund). Applications may be submitted concurrently with other funding requests, provided that the total support does not exceed the actual travel expenses.
- The grant may be awarded only once during the Master's degree.

Guidelines for Applying
- Applications must be submitted to the Office of the Vice President for Global Engagement at least five weeks before departure for the conference/workshop and before submitting the travel request through the University's travel system. Applications must be submitted via the online application form.
- Applicants must also comply with the procedures of the Overseas Academic Travel Unit, as detailed in the guidelines relevant to their status in the University portal.
- Please ensure that your travel request reaches the Overseas Academic Travel Coordinator for approval at least one month prior to departure.
- Applications for overseas travel must be submitted through the University's online travel system, which is part of the e-Tafnit financial management system:
https://bgufin.bgu.ac.il/xTafnit/default.csp - If the grant is approved, the relevant budget code and grant amount must be entered into the online travel request before final submission, and the travel request must include the approval form signed by the Office of the Vice President for Global Engagement.
- Upon returning from the conference/workshop, recipients are required to submit original receipts and supporting documentation to the Overseas Academic Travel Unit. Contact information:
https://in.bgu.ac.il/finance/Pages/foreign_currency-staff.aspx - Receipt of the grant is contingent upon submission of a brief report describing the contribution of the conference and/or activity to the student's research field (approximately half a page, together with one photograph from the conference).
- Grant recipients are expected to participate in the annual event for grant awardees.
Required Application Documents
Applications must include the following:
- A formal confirmation of the academic event, including the name, topics, venue, and dates of the conference/workshop.
- The abstract of the scientific paper accepted for presentation, including the names of all authors and their institutional affiliations.
- A formal acceptance letter confirming that the paper has been accepted for presentation at the conference/workshop.
- The conference/workshop program (if available).
- A letter from the academic supervisor, direct manager, or department chair explaining the relevance of the conference to the student's research and the expected contribution of the trip.
- Official confirmation of the conference/workshop registration fee.
- Airline ticket receipt or a flight quotation (pro forma invoice).
- Receipts or estimates for any additional travel-related expenses, including transportation and accommodation, if available.
